These Terms and Conditions govern the registration and representation of Youngsters by Cameron Kids Associates (“CKA”, “the Agency”, “we”, “us” or “our”).
By registering a Youngster with CKA, the Parent or Legal Guardian confirms that they have read, understood and agreed to these Terms and Conditions on behalf of themselves and the Youngster.
For the purposes of these Terms and Conditions:
Once registered, you must log in and fully complete your Youngster’s profile, including all information, photographs, measurements, identification and other documentation requested by CKA. These details are referred to throughout these Terms and Conditions as “Your Details.”
Registration does not automatically mean that your Youngster has been accepted onto CKA’s books.
By registering your Youngster with CKA, you confirm and agree that:
a. Your Youngster is represented by CKA as a performer and is not an employee of CKA.
b. You have the legal authority and parental responsibility required to register and represent your Youngster and to accept these Terms and Conditions on their behalf.
c. Your Youngster has the legal right to live and work in the United Kingdom. Where applicable, you must provide valid right-to-work documentation, including a valid share code or any other evidence requested by CKA.
d. You must upload valid identification for your Youngster, such as a passport or birth certificate.
e. You consent to CKA publishing, displaying and sharing your Youngster’s relevant profile
information, including photographs, measurements, performance information and other professional details, on the CKA website, within CKA marketing materials and with casting professionals, production companies, clients and other relevant industry contacts for the purposes of securing and managing professional opportunities.
f. Registration must be completed by a Parent or Legal Guardian aged 18 or over.
g. The email address used to register and access the Youngster’s profile must be monitored and managed by a Parent or Legal Guardian. It must not be solely controlled or operated by the Youngster.
h. Black-and-white photographs are not accepted because they are generally unsuitable for casting purposes.
i. Your Youngster must be ordinarily resident and based in Scotland. CKA only accepts Youngsters who are based in Scotland.
j. All information, documentation, photographs and measurements supplied to CKA must be accurate, current and truthful.
CKA will review each application and may approve a Youngster’s profile once all required identification, legal checks, contact information, photographs and supporting documentation have been received and reviewed.
A profile cannot be approved until all required information has been provided. This may include:
CKA may request additional information or documentation before approving a profile.
Submitting a registration form or creating a profile does not guarantee acceptance onto CKA’s books.
CKA reserves the right, at its discretion, to decline an application, refuse approval, suspend a profile or remove a Youngster from the Agency’s books.
CKA may provide an explanation where appropriate but is not required to provide a reason for every decision.
Once your Youngster has been accepted onto CKA’s books, CKA may contact you regarding availability checks, casting opportunities, auditions, self-tape requests, recalls, fittings, bookings and other professional opportunities.
An availability check, casting submission, audition request, self-tape request, fitting request or recall is not a booking and does not guarantee that your Youngster will be selected.
CKA cannot guarantee that your Youngster will receive auditions, castings, self-tape requests, bookings or paid work.
All final casting and booking decisions are made by the relevant casting professional, production company, client or employer.
CKA acts as a Data Controller in relation to the personal information it processes for the purposes of representing Youngsters and managing Agency activities.
CKA will process personal information in accordance with applicable UK data protection legislation, including the UK General Data Protection Regulation (“UK GDPR”) and the Data Protection Act 2018.
Your Youngster’s information will only be used for purposes connected with:
CKA will take reasonable steps to keep personal information secure and will not sell or trade personal information.
Further information about how CKA collects, uses, stores and shares personal information is contained within the CKA Privacy Policy.
You are responsible for ensuring that all information held by CKA remains accurate and up to date.
You must promptly update CKA regarding any changes to:
Failure to maintain accurate information may result in your Youngster being unavailable for work, being removed from a booking or being removed from CKA’s books.
CKA does not charge registration or routine administration fees. You are therefore responsible for maintaining your Youngster’s profile and ensuring that all information remains current.
You must:
a. Regularly update your Youngster’s measurements;
b. Keep photographs current and representative of your Youngster’s present appearance;
c. Respond promptly to availability checks, casting requests, self-tape requests, licensing requests and booking communications;
d. Complete all requested actions within the deadlines provided; and
e. Ensure that your Youngster is genuinely available before confirming availability for a potential booking.
Failure to maintain your Youngster’s profile, respond to requests or complete required actions may result in missed opportunities, removal from a booking, suspension or removal from CKA’s books.
Where incorrect information, inaccurate measurements, failure to complete licensing requirements, non-attendance or another failure by you results in a Production refusing or reducing payment, CKA will not be responsible for that loss.
You are responsible for ensuring that the BACS bank details provided on your Youngster’s profile are accurate, current and held in the correct account name.
CKA is not responsible for delayed, failed or incorrectly directed payments caused by inaccurate or outdated bank information supplied by you.
You must notify CKA immediately if your bank details change.
You may request the removal of your Youngster from CKA’s books at any time by contacting CKA in writing.
Following removal, CKA will deactivate or remove the Youngster’s active profile, subject to any information that CKA is legally required or permitted to retain for accounting, tax, legal, safeguarding, contractual or administrative purposes.
Once a Youngster has been removed from CKA’s books, whether at your request or as a result of action taken by CKA, the Youngster will not normally be permitted to register or rejoin CKA in the future.
CKA does not charge a registration fee or routine administration fee for joining the Agency.
Unless otherwise agreed or stated in writing, CKA will deduct an agency commission of 18% from all earnings received in connection with bookings, engagements or work arranged, submitted, negotiated, facilitated or managed by CKA.
Where a Production or client states that commission is payable in addition to the Youngster’s agreed fee, CKA will apply the commission in accordance with the agreed booking terms.
a. CKA may deduct commission from travel payments received in connection with a booking;
b. CKA will not deduct commission from per diem or subsistence payments;
c. Travel and accommodation costs are only payable by a Production where this has been agreed or confirmed in advance; and
d. Where travel or accommodation has not been agreed as an expense payable by the Production, the cost will remain your responsibility.
CKA is not responsible for reimbursing travel, accommodation or other expenses personally booked or paid for by you where a Production cancels, postpones, changes or withdraws a booking.
You should not incur non-refundable expenses unless the arrangements and responsibility for payment have been confirmed in writing.
You may be required to complete a timesheet, attendance record, “chit form” or other document confirming your Youngster’s attendance, working hours, breaks or other relevant booking information.
Some Productions may require this information to be completed electronically.
You must ensure that all information submitted is accurate and completed within any deadline provided.
Failure to comply with these Terms and Conditions, Agency instructions, Production requirements, licensing conditions, contractual obligations or reasonable instructions provided in connection with a booking may result in:
Where a Production refuses, delays or reduces payment because of an act, omission or breach by you or your Youngster, CKA will not be responsible for the resulting loss.
Once a booking has been confirmed, CKA will provide booking information by email or through the Agency’s designated communication systems.
You are responsible for reading all booking information carefully and ensuring that all requirements, dates, times, locations, wardrobe instructions, licensing requirements, travel arrangements and other relevant information are understood and followed.
A booking involving a Youngster may require a child performance licence, licence exemption or other approval before the engagement can proceed.
Where a licence or approval is legally required, the booking cannot proceed without it.
Licensing decisions are made by the relevant local authority or other authorised body and are outside the control of CKA.
CKA cannot guarantee that a licence will be granted and cannot accept responsibility where a licence is refused, delayed, withdrawn or not issued.
Attendance on set does not guarantee that your Youngster will participate in filming, be featured in a scene or appear in the final production.
Decisions regarding casting, filming, editing, inclusion and final content remain entirely at the discretion of the Production and creative team.
Parents and Legal Guardians are encouraged to discuss this possibility with their Youngster before attending a booking.
As CKA has no control over on-set decisions or post-production editing, CKA cannot accept liability where a Youngster is not used during filming or does not appear in the final production.
If your Youngster is unable to attend a confirmed booking, you must notify CKA immediately using the required communication process.
Youngster bookings may involve licensing requirements, safeguarding arrangements, travel arrangements and limited casting availability. Replacements may be difficult or impossible to arrange.
Failure to provide prompt notice may result in cancellation of the booking, loss of payment, suspension or removal from CKA’s books.
Productions may cancel or change bookings in accordance with the terms agreed for the engagement.
Some Productions may cancel a booking by midday, or in certain circumstances by 3:00 p.m., on the day before the scheduled booking. Cancellation terms may vary between Productions.
Not all cancelled bookings attract a cancellation fee.
CKA will notify you if a cancellation payment is due and will process any payment received in accordance with these Terms and Conditions.
If your Youngster cannot attend a booking, you must notify CKA immediately.
You must:
a. Call the designated booking or Agency telephone number during office hours; or
b. Outside office hours, email info@cameronkidsassociates.com, including:
Where a relevant CKA WhatsApp group is in use, you may also notify the group. However, a WhatsApp message does not replace the requirement to contact CKA by telephone or email.
You may be required to sign or accept a Non-Disclosure Agreement (“NDA”), Global Agreement, contract, release, consent form, licence documentation or other agreement in connection with a casting, booking, engagement or professional opportunity.
Failure to complete, sign or accept any required documentation within the deadline provided may result in the cancellation of a booking, withdrawal from an opportunity, removal from a Production or non-payment.
By registering a Youngster with and accepting representation by Cameron Kids Associates (“CKA”), the Parent/Legal Guardian confirms that they have the legal authority to act on behalf of the Youngster and authorises CKA to act as the Youngster’s representative and agent in relation to professional opportunities secured through, introduced, submitted, arranged, negotiated, facilitated or managed by the Agency.
The Parent/Legal Guardian grants CKA the authority, where reasonably required in connection with the Youngster’s professional representation, to negotiate, accept, confirm, enter into and sign contracts, agreements, booking confirmations, releases, consents and other relevant documentation on behalf of the Youngster and/or Parent/Legal Guardian in connection with work, auditions, castings, engagements or other opportunities introduced, arranged or managed by CKA.
The Parent/Legal Guardian understands and agrees that any contract, agreement, booking confirmation or other documentation accepted, confirmed or signed by CKA on behalf of the Youngster and/or Parent/Legal Guardian, within the scope of the authority granted under this clause, shall be treated as binding upon the Youngster and Parent/Legal Guardian to the extent permitted by applicable law, as though it had been accepted or signed personally by the Parent/Legal Guardian.
CKA will act reasonably and in good faith when exercising this authority and will provide the Parent/Legal Guardian with relevant information regarding the engagement, including the key terms, dates, fees and requirements, where reasonably practicable.
The Parent/Legal Guardian remains responsible for ensuring that the Youngster is available, eligible and able to fulfil any engagement accepted or confirmed on their behalf.
The Parent/Legal Guardian must immediately notify CKA of any restrictions, existing commitments, licensing requirements, conflicts of interest or circumstances that may affect the Youngster’s availability, eligibility or ability to undertake work.
This authority applies only to opportunities and engagements connected with the Youngster’s representation by CKA and does not grant the Agency authority to enter into agreements unrelated to the Youngster’s professional representation.
The Parent/Legal Guardian acknowledges that CKA may rely on the authority granted under this clause when communicating with Productions, casting professionals, clients and other relevant parties in relation to the Youngster’s professional opportunities and engagements.
If an issue arises on set concerning your Youngster’s welfare, safeguarding, chaperoning, working arrangements or participation, you should contact CKA or the registered chaperone responsible for your Youngster.
Production staff should not be approached directly regarding welfare or chaperoning concerns unless there is an immediate safeguarding, health or safety concern requiring urgent action.
Any feedback, complaint, concern or follow-up communication after leaving the set must be directed to CKA and not to individual chaperones.
In relation to any casting, booking, engagement or Production opportunity introduced, submitted, arranged or facilitated by CKA, all communications relating to that opportunity must be conducted through CKA unless CKA has expressly authorised direct communication in writing.
This includes communications concerning:
You must not accept work directly from, negotiate directly with or enter into a separate agreement with a Production, casting director, producer, production staff member or other Production representative in relation to an opportunity introduced by CKA without CKA’s prior written consent.
Following the completion of a booking arranged through CKA, you must not use that booking or relationship to contact, solicit or pursue further work, representation, auditions, castings or engagements directly with the Production or its representatives in connection with that opportunity unless authorised in writing by CKA.
This clause does not prevent you from pursuing, accepting or communicating about opportunities that were not introduced, submitted, arranged or facilitated by CKA.
You and your Youngster must comply with all confidentiality requirements imposed by CKA, the Production, client, casting professional or other relevant party.
Unless expressly authorised in writing, you and your Youngster must not:
a. Take photographs, videos, screenshots, audio recordings or other recordings on set or during a Production;
b. Share confidential information with journalists, blogs, media outlets or other third parties;
c. Post, publish or discuss confidential information relating to a Production on social media, including Facebook, Instagram, TikTok, X, Snapchat or any other online platform;
d. Share scripts, call sheets, schedules, contracts, casting information, self-tapes, photographs, emails or other confidential materials; or
e. Disclose information concerning a Production before it has been officially released or approved for publication.
A breach of confidentiality may result in immediate removal from CKA’s books and may lead to legal action or other action by CKA, the Production or another affected party.
All non-public communications and materials supplied by CKA must be treated as confidential unless CKA confirms otherwise in writing.
CKA may invoice and collect fees from Productions and clients on behalf of the Youngster where this forms part of the Agency’s role.
Payments will normally be processed by BACS using the bank details held on your Youngster’s profile.
Productions may take approximately 4 to 15 weeks, or longer in some circumstances, to process and pay invoices.
Payment timescales vary between Productions and may be affected by accounting procedures, payroll processes, invoice queries, payment disputes or other administrative delays.
Once CKA has received cleared payment from the Production or client, CKA aims to process payment to you within 30 days, subject to the completion of any required documentation and checks.
Where possible, CKA will provide a payment breakdown or remittance notification before payment is made.
Once payment has been processed by CKA, funds should normally reach the nominated bank account within approximately 48 hours. However, processing times may vary depending on the banking provider.
A Production may refuse, delay or reduce payment where booking requirements have not been met.
Examples may include:
Where payment is withheld, delayed or reduced because of an act, omission or breach by you or your Youngster, CKA will not be responsible for the resulting loss.
CKA is not responsible for a Production’s failure to pay where CKA has taken reasonable steps to invoice and pursue payment on behalf of the Youngster.
Your Youngster is represented by CKA as a performer and is not an employee of CKA.
Where applicable, you are responsible for ensuring that all tax, National Insurance and other legal or financial obligations relating to your Youngster’s earnings are properly managed.
CKA does not provide tax, legal or financial advice.
CKA may, at its discretion, suspend or remove a Youngster from its books where CKA considers this appropriate.
Removal may occur because of, but is not limited to:
Once removal has taken place, the Youngster will not normally be permitted to re-register or return to CKA.
Where a Parent or Legal Guardian requests the removal of a Youngster from CKA, the removal will be treated as final.
Once the Youngster has been removed, CKA will not normally accept a further application or request to rejoin.
CKA may update or amend its website, Terms and Conditions, Privacy Policy, Child Protection Policy, Safeguarding Policies and other Agency policies from time to time.
Where appropriate, CKA may notify Parents and Legal Guardians of significant changes.
Continued registration with or use of CKA following the effective date of updated Terms and Conditions or policies may be treated as acceptance of those changes.
You give permission for CKA to use photographs and videos of your Youngster for purposes connected with the Agency, including:
CKA will use such content in accordance with applicable data protection requirements and the CKA Privacy Policy.
You agree that your Youngster will have professional photographs taken by a CKA-designated or approved photographer within the Youngster’s first year of representation.
Where available, these photographs may be offered at a discounted or subsidised rate.
The Parent or Legal Guardian remains responsible for any agreed photography fee.
CKA is committed to promoting equality, diversity and inclusion.
Discrimination, hate speech, victimisation or unfair treatment on the basis of a protected characteristic or any other unacceptable ground will not be tolerated.
Any serious or repeated breach may result in immediate suspension or removal from CKA’s books and may be referred to an appropriate authority where necessary.
CKA does not tolerate harassment, bullying, intimidation, abusive behaviour, threatening conduct or inappropriate physical or verbal behaviour towards any person.
This applies to behaviour:
Any Parent, Legal Guardian or Youngster found to have engaged in, encouraged or supported serious harassment, bullying or unacceptable behaviour may be suspended or removed from CKA’s books.
Parents and Legal Guardians are not automatically permitted to remain on set with their Youngster.
Whether a Parent or Legal Guardian may remain on set will depend on the Youngster’s age, the Production’s requirements, safeguarding arrangements, licensing conditions and the decision of the Production.
Where a registered chaperone is responsible for the Youngster, the Parent or Legal Guardian may be required to leave the set or designated working area.
Refusal to comply with reasonable Production, licensing or safeguarding instructions may result in removal from the booking and may affect continued representation by CKA.
You must complete all reasonable requests made by CKA within the deadlines provided.
This may include:
Failure to respond or complete required tasks on time may result in your Youngster missing an opportunity, being removed from a casting or booking, or being suspended or removed from CKA’s books.
CKA operates as a non-sole and non-exclusive talent agency.
Your Youngster may be represented by another non-sole or non-exclusive agency, provided that there is no conflict with CKA’s representation or a specific booking arrangement.
CKA cannot accept a Youngster who is currently represented by a sole, exclusive or otherwise restrictive agency where that representation prevents or limits CKA from submitting or representing the Youngster for relevant opportunities.
It is your responsibility to check and understand the Terms and Conditions of any other agency representing your Youngster.
You must immediately inform CKA if your Youngster joins another agency or enters into any sole, exclusive or restrictive representation agreement.
These Terms and Conditions are governed by the laws of Scotland.
Any dispute arising from or connected with these Terms and Conditions or your Youngster’s representation by CKA will be subject to the jurisdiction of the Scottish courts, except where mandatory law provides otherwise.
By registering your Youngster with Cameron Kids Associates, you confirm that:
